ScaleSignet Limited ("ScaleSignet", "we", "us", "our") operates the website at scalesignet.com (the "Site"). This policy explains what personal information we collect through the Site, why we collect it, who we share it with, and what rights you have.

Scope. This policy covers the Site only. It does not cover data collected through campaign landing pages, click-to-call flows, or other lead generation properties we operate or work with. Those properties carry their own notices and consent language.

For the purposes of the EU and UK General Data Protection Regulation, ScaleSignet Limited is the data controller for personal information collected through the Site.

2. Information we collect

2.1 Information you give us

When you submit the client application form, we collect your first and last name, email address, phone number, legal company name, company website, business history, business location, estimated monthly budget, geographic coverage, and the verticals you are interested in. If you contact us by email instead, we collect whatever you choose to include in your message.

2.2 Information collected automatically

When you visit the Site, we and our service providers collect your IP address and the approximate location derived from it, browser type, operating system and device type, pages viewed, time spent, referring URL, and the date and time of your visit.

2.3 Cookies and similar technologies

We use cookies for two purposes: to make the Site function, and to understand how visitors use it. Strictly necessary cookies keep the Site secure and working and cannot be switched off. Analytics cookies are set by Google Analytics, and may in future be set by Amplitude. They tell us which pages are visited, how visitors arrive, and where they leave. Where required by law, we ask for your consent before setting them. You can control cookies through your browser settings; blocking analytics cookies will not affect your ability to use the Site.

3. Why we use your information

We use your information for the following purposes, relying on the legal bases shown for visitors from the EU and UK:

  • Assessing whether our services fit your business: our legitimate interests.
  • Contacting you about your enquiry: steps prior to entering a contract, and our legitimate interests.
  • Providing services once we work together: performance of a contract.
  • Measuring and improving Site performance: your consent where required, otherwise our legitimate interests.
  • Preventing fraud and securing the Site: our legitimate interests.
  • Meeting legal and regulatory obligations: legal obligation.

Where we rely on legitimate interests, our interest is in operating and growing a business to business service. We have considered whether this overrides your rights and concluded it does not, because the information involved is business contact information provided voluntarily by a person acting in a professional capacity.

4. Who we share your information with

We do not sell your personal information, and we do not share it for cross-context behavioural advertising. We share it with:

  • Cloudflare, Inc., which provides hosting, content delivery, and security for the Site.
  • Google LLC, which provides Google Analytics for Site measurement and Google Sheets where applications are stored.
  • Our email provider, where applications are delivered and correspondence is held.
  • Amplitude, Inc., which may provide product analytics if and when we implement it.
  • Professional advisers such as lawyers, accountants, and auditors, where necessary.
  • Authorities, where we are required to disclose by law, court order, or regulator.

Each provider processes your information on our instructions and is bound by contract to protect it. We may also disclose information in connection with a merger, acquisition, or sale of assets. If that happens, we will notify you before your information becomes subject to a different privacy policy.

5. International transfers

We are based in Hong Kong and our service providers operate globally. Your information will therefore be transferred outside your country of residence, including to the United States and Hong Kong. Where we transfer personal information out of the European Economic Area or the United Kingdom, we rely on the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or another lawful transfer mechanism. 6. How long we keep your information

  • Applications that do not become clients: 24 months from submission.
  • Client records: the duration of the relationship, then 7 years.
  • Email correspondence: 36 months from last contact.
  • Analytics data: as configured in each analytics tool, generally 14 months.
  • Records we must keep by law: as required by applicable law.

We delete or anonymise information once these periods end, unless we have a continuing legal reason to keep it.

7. Your rights

7.1 If you are in the EEA or UK

You have the right to access the personal information we hold about you, to have inaccurate information corrected, to have your information deleted in certain circumstances, to restrict how we process it, to object to processing based on legitimate interests, to receive your information in a portable format, to withdraw consent at any time without affecting processing carried out before withdrawal, and to lodge a complaint with your supervisory authority.

7.2 If you are a California resident

Under the California Consumer Privacy Act, as amended, you have the right to know what personal information we collect and how we use it, to request deletion, to request correction, to opt out of sale or sharing, and to limit use of sensitive personal information. We do not sell or share personal information as those terms are defined by the CCPA, and we do not collect sensitive personal information through the Site. We will not discriminate against you for exercising any of these rights.

7.3 If you are in Hong Kong

Under the Personal Data (Privacy) Ordinance, you may make a data access request or a data correction request in relation to personal data we hold about you. We may charge a reasonable fee for complying with a data access request, as permitted by the Ordinance.

7.4 How to exercise your rights

Write to info@scalesignet.com. We will respond within the timeframe required by the law that applies to you, and in any case within 30 days. We may ask you to verify your identity before we act on a request.

8. Security

We use technical and organisational measures appropriate to the risk, including encryption in transit, access controls, and vetting of service providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Children

The Site is directed at businesses, not individuals, and is not intended for anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, write to info@scalesignet.com and we will delete it.

10. Third party sites

The Site may link to third party websites. We are not responsible for their content or privacy practices. Read their policies before providing them with information.

11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. Where changes are significant, we will take reasonable steps to notify you.
